OFFICE/ ADMINISTRATIVE ASSISTANT AND RECEPTIONIST
POSITION DESCRIPTION

OVERVIEW AND SCOPE OF POSITION:

  • The employee has numerous and broad responsibilities as support staff to the Rector and Office Manager.
  • The employee provides the initial contact and welcome during working hours, the parish’s first impression to all, as well as performing secretarial duties as assigned.
  • The employee reports directly to the Rector or Rector’s Designee.
  • The employee may be required to oversee volunteers and other employees of the church.
  • 10-15 hours per week during the Normal work hours are 7:30 am - 4:00 pm, Monday-Friday.

MINIMUM QUALIFICATIONS:

  • Excellent administrative, time management and organizational skills, a “self starter” capable of working productively and independently with a minimum of supervision.
  • High school graduate or equivalent with secretarial, administrative training/experience preferred.
  • Sound knowledge of operation of standard office equipment including, but not limited to: typing, copying, faxing with computer abilities in word processing, spreadsheet, data bases normally associated with PC use.
  • Organized, hard working, detail oriented with excellent interpersonal and effective verbal and written communication skills. Personable with pleasant telephone manner.
  • Possess high levels of flexibility, diligence, perseverance, and sound judgment.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Provide fundamental secretarial services to the Rector/Priest, or Office Manager, Wardens, designated parishioners as assigned by the Rector or Rector’s Designee. These include:
    1. Answer the telephone in a professional and pleasant manner, taking and relay messages promptly, routing inquiries to appropriate church entities, and offering questions by callers.
    2. Route all visitors, arrivals to parish campus, and appointment attendees to appropriate meeting space or individual.
    3. Route incoming mail, e-mail and fax correspondence to appropriate designees.
    4. Guard the confidentiality of all written and verbal information and maintain important church information in secured/locked files. 5. Meetings in Rector’s Study shall be regarded as confidential.
    6. Prepare, copy, and compile materials for distribution, including, but not limited to: parish newsletter, worship bulletins, parish meeting materials, parish mailings, etc.
  • Work towards the support, and by the direction, of the Office Manager.
  • Be sensitive to the traditions and workings of the Episcopal Church as well as the resources within the church membership so that all work is completed within scheduled deadlines.

Responsibilities for All Personnel:

  • Support and work towards the overall mission, vision, and values of the Organization.
  • Establish and maintain a positive working relationship and staff team participation with the Rector/Priest, and other staff and parishioners
  • Pursue expedient resolution of all problems and any questions.
  • Assume responsibility for own professional growth and development.
  • Share in maintenance of collective work environment in a clean and orderly fashion.
  • Participate in an annual performance evaluation with the Rector, or designee, to update duties and to renew an annual Letter of Agreement.
  • Provide appropriate coverage for all duties when away from the church for vacation, illness or other circumstances, and ensure that other business, personal activities, obligations, etc., do not interfere with office responsibilities.
  • Perform all other duties or responsibilities as directed by the supervisor and deemed necessary to assist in the work of the Parish.
  • Exhibit willingness to learn and grow.
  • Provide a courtesy resignation at the hiring of each new Rector/Priest, with the possibility that resignation may be accepted.
